Opus Newsletter #19

Reminders

What’s in a [Action] Name?

In order to make our process faster and more efficient, APO asks dean’s offices to add the name of each case’s action to the subject line when sending notification emails from Interfolio. Admins can do this by editing the subject line of the notification message when they send the case forward from the Dean's Office: Finalize & Submit to APO step in Interfolio. Adding the action will allow APO personnel handling inbound cases to quickly sort and assign cases as they arrive from the various schools.

For example, when sending Associate Prof. Josephine Bruin's merit case to APO, the subject line would be Bruin, J. - Merit to Associate 3.

Another Zoom in the Archive

We’d like to thank everyone who attended our third Zoom with Opus session last Friday. For those of you who missed the presentation (the topic was: setting up Interfolio for new hires/administrators), check the Workshops & Events page on the Opus Support Site for an archive of past presentations.

New Staff Access: Finding the Balance

Whenever a new administrator joins an academic unit, remember that existing admins have a choice whether to request administrative privileges for them in Interfolio. Requesting these privileges will allow them to do a range of activities in Interfolio, but it also means that existing admins (or possibly the new admin) will need to further configure their access on open cases and templates — sometimes a fair bit of work. Sometimes the new user can simply be designated as a committee manager instead, which eliminates the extra work. For more information, check out the Zoom with Opus session mentioned in the article above, then have a look at these support articles:

Updates

Opus 2.4 Is On Its Way

We’ll deploy a new version of Opus on Sunday, March 25, so users should expect limited to access to the system between the hours of 8 am and 1 pm that day.

This release includes many behind-the-scenes improvements (get ready for faster page loads!) and improved linkage between Opus and Interfolio. We’re also bringing in base salaries from EDB — this is the first phase in the effort to get accurate salary data. We will also load School of Medicine’s 2018-19 APU salary scales.

Note, the Interfolio system will remain fully functional during this time, so you or your faculty can continue to work on cases during this window.

Opus Semi-Monthly

After this edition, the Opus Weekly newsletter will be switching to a less frequent publication schedule, starting with edition 20. We’ll preserve our ca. 12:00 Wednesday deadline, but push issues less often. We’ll also use our mailing list to communicate with users in the event a time-sensitive issue should arise.

If you’d like to view an archive of past editions of the newsletter, visit the archive on the Opus Support Site — past editions can be searched by keyword.
