When someone new arrives in an academic unit, whether this is a department, division or school, existing staff with Interfolio administrative permissions must add the new staff to the appropriate Interfolio committees, and — if necessary — request administrative privileges for them through Opus Support.


Committee Assignment

When they first join an academic unit, a new staff member is assigned to the appropriate Interfolio committees. This allows them to access cases from their unit.


If the unit is a department, the new DA should usually be added to:

  • Department Admin Committee

  • Department Chair Committee


If the unit is a school, the new SA should usually be added to:

  • School Admin Committee

  • School Dean Committee


When adding the staff member to committees, existing personnel must decide whether to request committee manager privileges for them, or leave them as a regular committee member. Interfolio Administrator Privileges

A new staff member may also need administrative privileges in Interfolio. Having these provides extensive access to cases in Interfolio — this is the most permissive role the system offers.


However, in order to align with UCLA and AAPO policy, giving someone this level of access in Interfolio entails a certain amount of extra work associated with further configuring their permissions, so we recommend that existing personnel weigh the new staff member’s need for enhanced Interfolio privileges against the cost of this extra work. If Interfolio administrator privileges are requested for the new hire, their access to steps in currently open cases and templates will need to be configured using the “recusal” feature.
