Up to Speed: Zoom with Opus

We’re pleased to announce that starting next Friday, we’ll be holding regular virtual training sessions (via the teleconferencing app Zoom), each of which will focus on a particular topic. These sessions will typically address common queries from Opus help tickets, and will feature a demo alongside a group chat. Participants can watch the demo, ask questions and see solutions in real time. If you’d like to attend, let us know by entering your name on our signup spreadsheet. The first session will explain candidate certification in Interfolio. Hope to see you there!

About that Missing Email Error…

We’ve recently seen a few cases for faculty members who don’t have an email address in our campus directory. Cases for faculty without email addresses can’t be opened in Interfolio, so if you encounter an email error when using the “Go to Interfolio” button, please have your appointee create a campus logon and designate an email address for UCLA systems (like Opus) to use at https://accounts.iam.ucla.edu/#/.

See the Opus Support Site article, Why Do I Sometimes Get an Error About an Email Address When Trying to Go to Interfolio? for more information.

Online Review, In-Person Help

As always, APO staff are available for in-person help with Opus. Sign up for a slot with our signup spreadsheet.

Finding Your Footing with Search

Did you know that there are two basic approaches to the Opus Support Site articles? You can scan the table of contents to find a helpful article, or you can dive right in with search. If you use the search option, remember to focus on keywords, and to try related terms.

For example, if wanted to start a case over again and you needed to know how to delete the old one, you may try searching for just the word “delete” as well as “deleting,” “deletion,” etc. IfIf the results from just one word were too broad, you might try adding the word “case.” Start broad and then narrow down, while using different forms of the same keywords to refine your search. See the Opus Support Site article, How to Use the Opus Support Site for more information.

Reminders

UC Start Dates = UCLA Start Dates

For appointees who started at another UC campus before coming to UCLA, remember that the Start Dates for Series/Rank/Step on their appointments should reflect the entirety of their UC service.

For example, let’s say an assistant professor starts at step 1 at UC Merced on July 1, 2015. They then move on to UCLA as an assistant professor at step 2, effective July 1, 2017. Their Start Date at Series and at Rank in Opus should be 7/1/2015, matching the appointment from Merced.

APO, Keeper of Pre-Approval Documentation and Salary Requests

We just want to remind everyone that dean’s offices should not upload Vice Chancellor’s pre-approval documentation for salary. The Academic Personnel Office will add these documents.
