Bias List and Suggested Evaluators

We’ve made a change to how we’re handling the Bias List and Suggested Evaluators List.  It will be a form where the candidate acknowledges their right to suggest names for either list.  Should they wish to submit a bias list or suggested evaluators, please upload those lists as documents and configure the document settings to Admin Only.

Candidates Can’t View their Docs

Some candidates have logged in to Interfolio and can’t see the documents in their case.  Here’s our checklist for department staff to help solve this:

Make sure they are logged in to through the “Partner Institution” option on Interfolio.com. The candidate may have an alternate Interfolio account. If they are not logged in through UCLA, they won’t see their packet.

Did you select the files to share with the candidate and then send the case forward?  

Are they clicking the committee files link?


Where Can I Find the Documents in My Case?


Submission Dates on Forms

Forms in the Candidate Certifications & Responses section will show the date the section was most recently submitted (or re-submitted) rather than when each form was submitted.  We have added a date field in each form to account for this issue.  Your faculty candidates will type in the date and their name when they sign off on these forms.  Any forms already submitted are valid, but we’ve made this change for any new forms submitted from now on.



Reminders

Correspondence from Extramural Evaluators

Please follow your existing practice of keeping records of correspondence with potential extramural letters writers.  If someone emails to explain why they cannot write a letter of evaluation for your candidate, please upload that correspondence so reviewing agencies that saw that correspondence in the past can now view in Interfolio.


Appointees Need UIDs in Opus

If you’re bringing a candidate in from Recruit to start an appointment case in Opus, please be aware that Opus will eventually need a campus ID (UID) for the candidate before you enter them into EDB .  If you know the candidate already has a UID (because of prior employee or student status), please put that UID in when prompted as part of the Start a Case process.


If you have a candidate in Opus without a UID and you’re about to enter them into EDB, please use the “Request a UID” feature on your Opus dashboard before entering the candidate onto EDB.  That timing will ensure that the EDB record and the Opus record sync up because they have the same UID.

FYI

Opus has not yet purchased Interfolio’s dossier product.

If you or your candidate click “Activate Dossier” on your Dashboard, you will be creating a non-UCLA Interfolio account.  UCLA cases can only be accessed by logging in with your UCLA logon.


Opus 2.1 is Coming

Stay tuned for Opus updates we’ll release the first week in November.  Updates will include the ability to process initial appointment cases online.  


If your faculty chairs or deans ask about the upcoming bulk upload functionality, please let them know that it is in the development pipeline at Interfolio and scheduled for release in a few weeks.
