this first issue of the Opus email newsletter, we’re trying out a new
channel of communications with our users. Each issue will include tips
and tricks for using Opus, solutions for common problems (“what we
learned this week”), and announcement of future enhancements. Keep an

Online Chat is Live
Opus
is rolling out a live chat feature, available on our Help site. We’ll
be manning the lines from 1 – 4pm each day, available to answer any
questions you may have about Opus or Interfolio.
Logging in to Interfolio
Candidates
are getting stuck at the login screen. Please let them know they need
to select "Sign In" (NOT "Sign Up") and then login through the “partner
institution” option. See the faculty guides for details.
Document Naming Conventions
Whenever
you upload a document to Interfolio, you’ll want to make sure the name
you give the document allows reviewers to easily identify it later.
We’ve put together this list of suggestions to help keep uploaded
letters organized:
For the original, unredacted letters of evaluation, the file names should include...
Whether it's an internal or external letter;
Which list the letter writer came from (suggested by candidate, chair, or both);
Name of letter writer;
Name of candidate;
Date the letter was received.
So,
if the Chair asks Prof. Tommy Trojan at USC to submit a letter for UCLA
Prof. Josephine Bruin and it arrives today, the filename would be:
External_Chair_Trojan_Bruin_20170926. If Prof. Bruin and the Chair
both suggest Prof. Peter Anteater at UC Irvine, the file name would be
External_Both_Anteater_Bruin_20170926.
The redacted copies that you share with the candidate can be External1, External2, etc.
Exhibit Boxes
If
you will be submitting a physical box of publications or other evidence
as part of a candidate’s case, please upload an inventory of these
items into the case in Interfolio. APO will then know to wait for the
exhibit box to arrive before processing the case.
Range
Adjustments / Discretionary Salary Increases. Salaries in Opus will be
adjusted according to the July 1, 2017 range adjustment and
discretionary increases on the first week of November.
Interfolio
will allow bulk upload of documents in late October. We passed along
your feedback that uploading documents one by one is time-consuming and
frustrating. Interfolio will add the ability to upload multiple
documents at once in late October.
