There are several things that happen in Opus on a regular schedule, ranging from every day to once per year.
Immediately
The following information updates in real time.
Eligibility
Eligibility is updated immediately after saving data on the 8 Year or Unit 18 Excellence Review clock tables. This updates eligibility information for 4th Year Appraisal, 8 Year Limit, and Unit 18 Excellence reviews.
Case Location and Tracking Dates
These data are updated immediately from Interfolio whenever the Case Summary page is opened.
Salary Report
The data on this page immediately reflects any updates made to the appointment.
Each Night
Opus queries several data sources around campus and updates its internal database in response to new information. Many types of changes that are made in Opus’ daily activities are also processed each night.
Data from the Employee Database
Opus syncs with EDB to pull in new hires, however it does not get appointment information from this source. The update from EDB only allows Opus to find individuals in the UCLA search used by administrators when starting a case, and it updates Recruit-sourced records with name and email information. This job also updates any people who have separated, making them inactive in Opus — these appointees will no longer be visible on the Roster page, Profile page, Eligibility page, the Salary Report, and the Cases page.
Appointment Data
During an internal nightly job, Opus updates appointments based on the effective date of cases for actions associated with them.
Ended Appointments
Opus archives any appointments that have ended. These appointments will no longer be visible on the Roster page, Profile page, Eligibility page, the Salary Report, or the Cases page. See the article, Can I Add Missing Appointees Into Opus? for information on re-activating appointments that were ended erroneously.
8 Year and Unit 18 Clocks
Opus adds a row to the 8 Year or Unit 18 Excellence Review clock tables for any new appointees. A row for the current Academic Year is added. Regardless of the appointment effective date, Opus assumes that the person will be here full time and will add one year (three quarters or two semesters, or twelve months) to the appointee’s clock.
Eligibility
Each night Eligibility is re-calculated based on any updated appointment information.
Case Location
Case location is updated nightly with information from Interfolio. This information can also be updated immediately by clicking the case on the Cases page to open the Case Summary page.
