Candidate certification is a sign-off when the candidate views the contents of the case, certifies the accuracy of the case contents, and has the opportunity to comment on or respond to any of the case contents (be it teaching evaluations, letters of evaluation from external sources, or committee reports).
Initial Certification
The department administrator:
- Uploads all the documents required before the case goes to its first reviewing agency (e.g., departmental ad hoc committee, standing committee on academic personnel, etc.).
- Adds the Candidate Certification: Candidate Documents form to the case (see How to Set Up Candidate Requirements in Interfolio for those instructions).
- Clicks the Notify Candidate option (under the "Send Forward" button) to email the candidate with instructions to review the materials and complete the Certification Form.
The candidate should consult How to Submit a Form in Interfolio to navigate the process of finding the Candidate Certification: Candidate Documents form, completing it, and submitting the Candidate Responses & Certifications section.
The department administrator then checks the submitted form (if the candidate missed the step of submitting the Candidate Responses & Certifications section, the department administrator will not be able to see the form the candidate completed).
Subsequent Certification
The department administrator:
- Repeats the above process, adding subsequent Certification Forms from the Forms library in Interfolio, when new material is added to a packet that requires candidate sign-off.
- The administrator has to unlock the Candidate Responses & Certifications section to allow for a candidate to complete and submit subsequent Certification Forms.
- If the administrator wants the candidate to review a document in the Internal section of a packet, they must select such document(s) and then click the Share option in the menu bar above the case documents. For example, the candidate will not see a redacted letter of evaluation or committee report unless the administrator shares it in Interfolio. The "Share" function in Interfolio allows the administrator to compose an email to the candidate, in which the administrator should specify the new material for the candidate to review and the certification form they need to complete.
The candidate should follow the instructions in their administrator's email to review the new material and sign off on the new Certification Form (and consult How to Submit a Form in Interfolio as needed).
