Many academic appointees require multiple Renewal, Reappointment, or Change APU actions each year. To make the process of starting these cases easier, you can start multiple cases for these actions simultaneously, as long as all the cases being created use the same action and have the same Effective Dates and Appointment End Dates. 


The cases you create are the same as they would be if they were created individually — once the cases are created, they cease to be associated with each other and function just as they would if they were created without using the bulk tool (i.e., they can still be found in the appropriate table on the Cases page, they individually update their associated appointments on their effective dates, any modifications/deletions would occur individually, etc.).


Note that some cases started with this method are approved and completed immediately, while others remain open. Reappointments and Change APU actions are approved immediately, Renewals aren't.

Step 1. Open the Cases Page

Click "Jump To" and then "Cases" near the top of any Opus page. This takes you to the Cases page with the Active Cases tab displayed.

Step 2. Click the Dropdown Menu on the Start a New Case Button

Click the triangle icon on the right side of the "Start a New Case" button, as shown below.

Step 3. Select Action Type

The three available actions are “Reappointment”, “Renewal”, and "Change APU." Select the action you want to use.

Step 4. Select Appointee(s)

Opus displays a list of appointees in your academic unit who are eligible for it. Check the boxes next to the appointees for whom you want to start cases, or use the “select all” feature (the unlabelled checkbox at the top of the column), and unselect the few exceptions.


It’s important that you group appointees only when their cases should have the same Effective Dates and Appointment End Dates. For example, if some of your appointees need Appointment End Dates of December 31st, while others need June 30th, you would start these cases in two different batches, a batch for each end date, instead of all at once. When you're done selecting appointees, click the "Next" button.

Step 5. Enter Effective and End Dates

Opus asks you to enter the Proposed Effective Date and Appointment End Date for the cases you're starting. Enter these dates.

Step 6. Finalize the Cases

Click the button to advance the dialog. If you selected the Reappointment or Change APU action in Step 3, the button is labelled "Complete the Cases," as seen in the screenshot above. If you selected the Renewal action in Step 3, it's labelled "Start the Cases," as seen in the screenshot below.

Step 7. Verify Completed Reappointments and Change APUs (if Applicable)

If you selected the Reappointment or Change APU action in Step 3 above, Opus shows you a message that the cases have been completed, and instructs you to find them on the Completed Cases tab of the Cases page. Click the “OK” button, and then click the “Completed Cases” tab to find the Reappointment cases you’ve just created. Each appointee you selected should now have a new Reappointment case in the table. Also note that the relevant appointment(s), as visible in the appointee's profile(s), will update on the Effective Date entered during Step 5.

Step 8. View Renewal Summaries (if Applicable)

If you selected the Renewal action in Step 3 above, Opus shows you a message that the cases have been created, and instructs you to find them on the Active Cases page. Click the "OK" button and then reload the page in the browser. Each appointee you selected should now have a new Renewal case in the table.

Step 9. Link To Existing Interfolio Case (if Applicable) 

If you selected the Renewal action in Step 3, you may need to open one or more of the cases you just created and use the “Go to Interfolio” button to link them to existing Interfolio cases (see the article near the bottom of this page for instructions). Be sure to upload the Renewal Vote Page as a distinct file to the Interfolio case once the vote occurs.
