There are several types of templates for Interfolio cases, each of which is used for a different purpose.


Template Naming Conventions

Interfolio templates created by the Opus team have four parts to their names:

  1. Academic Unit
  2. Process Type (Appointment or Review)
  3. CAP Review (With or Without CAP
  4. Additional Type (optional — e.g., “Full Process”)

Examples:

Art History: Appointment: With CAP

Art History: Appointment: Without CAP: Full Process

Art History: Review: With CAP

Art History: Review: With CAP: Full Process

Art History: Review: Without CAP

Art History: Simplified

Art History: Minimal


Templates in Medicine & Dentistry may note the Division or Affiliate.  

Examples:

Pediatrics: Affiliate: Appointment: With CAP

Medicine: Olive View: Review: With CAP

Medicine: CHS: Cardiology: Review: With CAP

Dentistry: Oral Bio. & Med.: Oral Med & Orofacial Pan: Review: With CAP

Dentistry: Adv. Prosthodontics: Simplified


Full Process templates may be deleted unless your unit is a single department school.


Template Descriptions

The Opus/Interfolio templates are named to convey which review processes each template should be used for. 


Campus Templates

These templates have the word “Campus” in the department position in their name. Campus templates are not used for cases.  A future update to Opus will suppress these templates so they aren't presented as an option.


Appointment Templates

These templates have the word “Appointment” in the process type part in their name. They’re typically used for new hire appointments — notably, they lack steps where the candidate would review or respond. The candidate will not have access to a case based on an Appointment template even if you use the Share Documents feature. 


Review Templates

These templates have the word “Review” in the process type position in their name. They’re used with cases for advancement actions (merit, promotion), renewals, appraisals, etc. These templates feature steps where the candidate reviews, possibly uploads, and responds to the case.


“Without CAP” Templates

These templates are used in cases where CAP review is not required. Should the Vice Chancellor request CAP review for a case that doesn’t have mandatory CAP review, APO will add the relevant case step(s) when they audit the case.


“With CAP” Templates

These templates are used in cases where CAP review is required.


Full Process Templates

These feature the maximum number of steps.  These templates are useful for single-department schools when they have a case involving a joint appointee that needs to be routed to the other department. For more information, see the articles on multi-department review, linked below. Multi-Department schools may delete these Full Process templates as their regular templates already include all required steps.


“Simplified” Templates

Most templates are designed for personnel actions that are reviewed by committees, have a vote, and (except for initial Appointments), allow the candidate to respond to their departmental review. The Simplified Templates, on the other hand, were designed for actions that do not require so many steps. Departments can use them to process any action that doesn’t require departmental peer review, such as retention cases (e.g. Special Offscale requests) or a review of an Academic Coordinator, Academic Administrator, Project Scientist, or Specialist.


“Minimal” Templates

For cases that fit the criteria for a Simplified Template and, furthermore, don't even require candidate certification, the Minimal Template can be used.  This template has one step at the department level and one step at the dean's office before going to the APO steps.  Examples of cases where the Minimal template is appropriate: Recalls, Visitors, and Reappointments that require a reappointment form or memo but don't require candidate involvement.
