Sometimes (often for the School of Medicine) visiting appointments need to be converted to regular ones. When it’s time to do this, follow the steps below to either verify that there’s an existing appointment, or make a new one (via the Start a Case feature). Once the Office of Academic Personnel (APO) approves the regular appointment, they’ll delete the visiting one via their administrative tools in Opus, but you'll need to check back in Opus to verify that this has been done.
This article tells you how to end a visiting appointment in Opus. The instructions assume you’re already logged into Opus and your permissions allow you to access the relevant features. 1. Check the Cases Page
We’re assuming that you’ve already verified that your appointee does not appear on the Roster page with the correct regular appointment — if they already have that, you don’t need to do this process.
First, check the Cases page to make sure the appointee doesn’t already have a case in progress for the action you need to do — if they do, this means you don’t need to start one. Navigate to the Cases page by clicking "Jump To" and then "Cases" near the top of any Opus page.

2. Search for Your Appointee
Type their name in last name<comma> first name format in the Name column in the data table on this page (see the screenshot above), or just scroll down the table until you find your appointee. If you use the Name column option and don’t find the appointee, please make sure you double-check your search input for spelling and formatting, or to be safe enter just their last name and scroll through the results to verify that they aren’t there. This will help avoid starting a new case for someone that already has a case in progress.
3. Start a New Case for Your Appointee
We’re not going show you how to start a case here (but you use the "Start a Case" button, visible in the above screenshot…) because we already have an article on that topic. It’s linked near the bottom of this page. You’ll be starting a new case for the appointee with a specific action — see the article on which action to use, linked below.
4. Check that APO Removes the Visiting Appointment
Once APO approves the new appointment, they will automatically get rid of the old one, so at this point you’re done, but you'll still want to check back in Opus until you've verified that the visiting appointment has been deleted.
