New academic personnel staff who are granted administrative privileges in Interfolio will need to configure their case access for templates and for active cases.
Case access is managed through case steps in Interfolio. Interfolio cases start out on “step 0,” and as they move forward (with the “Send Forward” button), cases advance through their steps. Interfolio allows anyone assigned at a case’s current step to access the case. Because case materials added at a particular step should often not be shared with personnel who worked on the case before it arrived at this step, different steps should feature different personnel assignments. But, when someone is granted administrative privileges in Interfolio, they are automatically assigned to all steps for cases and templates associated with their unit. To bring this access into alignment with UCLA policies, it must be additionally configured.
New admins must be “recused” from those steps where they should not have access. The selection of steps where this is required will depend on the academic unit where the new admin has been added:
Department admins are recused from all steps past the department (School, AAPO, etc.)
School admins are recused from all steps past the school (AAPO, etc.)
This must occur for active cases and for templates. New department administrators need to configure all cases and templates from their department. New school administrators need to configure cases and templates for all the departments in their school.
Note that some new hires won’t be granted administrative privileges in Interfolio because of the extra work that this entails (especially at the school level).
