Vitas & Biosketches


In the left navigation panel, click “Vitas & Biosketches” to view and export your data using the National Institutes of Health’s Biosketch template, UCLA’s Data Summary template, or a custom template.




Under “Vita Admin” you will see Vita templates created by the campus along with any personal vitas you’ve created. All templates where the unit is “Campus” were created by UCLA.


The Data Summary template was designed for the academic review process and has data you may not wish to add to a personal CV (e.g. whether the course contributed to advancing diversity at the institution).


The Scholarly & Creative works template allows you to create a bibliography without data from any other activity sections.


The Standard CV template was designed for personal CVs.




View and export your vita using an existing template

Each template may have different sections, styles, or activities selected. Click the view icon next to the template to view and export your data, using the selected template.




Set Date Range


The vita will automatically generate and display data from the previous year.


If you selected one of your personal vita templates, you can choose which citation style to use for your publications. Campus templates use the APA style. 


To change the date range, update the begin and end terms or choose "All" to display all of your data. Terms in Faculty 180 map to the following dates:


  • Fall: October - December

  • Winter: January - March

  • Spring: April - June

  • Summer: July - September


Check “Hide date range in vita output” if you don’t want to see the date range in the header of your CV.


Click “Refresh Vita” to update the data after changing the settings.


You will see something like the following:



Export


You can export the Vita by clicking the “Export/Share” button and choosing a file type. 

Choosing Word or PDF downloads the file to your computer. 


Choosing Web Link generates a URL that you can share. When your colleague clicks the link, your vita will open in a new browser window - it does not allow your colleague to access your profile in Faculty 180.



Creating a new vita template

Click “Add”



Enter a name for the CV and choose the template you wish to base the CV on.



We recommend choosing the Standard CV template or one of the Biosketch templates.


Click Save to go back to the main page. Click “Save and Edit” to choose items you would like to include in your CV.


Once you save, you’ll see your CV added to the table. 



View your vita by clicking the eye icon,

Edit your vita by clicking the pencil icon, 

Delete your vita by clicking the x,

Make a copy of your vita by clicking the squares.



Editing your CV template



General Information


Rename or add a description to your CV at any time. 


Allow automatic display of new activities on vita 

Setting this to “Yes” means that when new publications or grants are added to the Activities page, they will also be displayed on this vita. Setting it to "No" freezes the CV and no new records will be added unless you manually select them. 


Show photo on Vita 

If you have added a photo to your Profile (under Personal Information), setting this to “Yes” will display your photo in the header of your CV.


Show empty sections

Setting this to “Yes” will display activity sections even if you don’t have any data. Here’s an example of what this looks like:


Hide vita name

Setting this to “No” will display the name of your vita in the header.


Hide attachments on vita

Setting this to “No” will add a hyperlink to any activity with an attachment



If you share your CV as a Web Link the reader can click on the link and download the attachment.

Note: The attachment will not be available if you download your CV as a PDF or Word file. 


Select Content

Hide non-editable sections

At UCLA, there is no difference between setting this to “Yes” vs. “No”.


Choose the sections you want to display. Reorder the sections if desired.


Click the numbers next to “Reorder” to set a section to “Do Not Show”. You can also drag and drop sections into the order you want. Drag the section down to the bottom to set it to “Do Not Show”.

Note: Personal Information and Contact Information sections are not shown by default because the information is displayed in the CV header.





Choose the items within each section that you wish to exclude from the vita


Expand the section by clicking on the double arrows.


By default, all activities within each section are selected. Deselect the items you wish to exclude.




For a large section, like Scholarly & Creative Works, use the Search bar to search for a specific item and deselect it.




Save


You must click Save to save your selections. Click Save and Preview to see what your CV looks like with the selections you made. Click “Cancel” to go back to the Vitas & Biosketches page without saving your edits.




Creating Biosketches


Biosketches are formatted according to granting agency guidelines. 


Create a Biosketch


Under Vita Admin, click “Add”.



Choose the Biosketch template you wish to use, and name the vita.




Click “Save” to return to the Vitas & Biosketches page or “Save and Edit” to populate your Biosketch. 

Click “Cancel” to go back to the Vitas & Biosketches page without saving your edits.



Editing your Biosketch


Click the edit pencil next to the Biosketch you created



For each section, select items to include in your Biosketch.




Save and Preview your Biosketch


Choose a citation format. If you update the format or template, click “Refresh” to update the data. The output will look something like this.
