There are several requirements that Opus has developed for naming documents uploaded to Interfolio.


For original, unredacted letters, the file names should include:

  1. Whether it's an internal or external letter (even if your dept might not do internal letters)

  2. Which list the letter writer came from (suggested by candidate, chair, or both)

  3. The name of the letter writer

  4. The name of the candidate

  5. The date the letter was received


For example, if the Chair asks Professor Tommy Trojan at USC to submit a letter for UCLA Professor Josephine Bruin, and it arrives on August 18th, 2017, the filename would be:

External_Chair_Trojan_Bruin_20170918


Similarly, if Professor Bruin and the Chair both suggest Professor Peter Anteater at UC Irvine, and it arrives on August 18th, 2017, the file name would be:

External_Both_Anteater_Bruin_20170918


Redacted copies that you share with the candidate can be External1, External2, etc., with a reduced (redacted) file name:

External3_Bruin_20170918


You will also need to upload (but not share with the candidate) a list of external letter writers that details the linkage between the original and redacted copies of external letters. The content in this document would look something like... 


"The redacted version of Professor Tommy Trojan's letter is Redacted External1.  He was on the Chair's list of potential evaluators.  He is distinguished professor at USC and leading authority in Josephine Bruin's field... [the brief biography of the letter writer, as required in The CALL's Summary of Procedures].


"The redacted version of Professor Peter Anteater's letter is Redacted External2.  He was on the Chair's and Candidate's list of potential evaluators.  He is professor at UC Irvine and leading authority in Josephine Bruin's field... [the brief biography of the letter writer, as required in The CALL's Summary of Procedures]."
