Opus Newsletter #25

Updates

New Version of Opus

Later today we’re launching Opus 2.5. The system will be down from 5:00 pm until approximately 8:00 pm, so we recommend you save your work and log out of Opus before 5 — Interfolio will continue to be available during this time.

New features include:

  • Start reappointment and renewal cases for multiple candidates at once.

  • The Case Summary in Opus can now be exported as a PDF. This PDF file can then be uploaded to Interfolio to serve as the Cover Page for July 1, 2019 actions.

  • When starting a case for an Endowed Chair action, Opus now asks for type and, for some types, an end date.

  • Additional data is available under “View Appointment Details” when starting a case.

  • Additional columns are available on the Cases and Roster pages by clicking the "Change Columns" button.

  • Additional information is available on Profile.

See the Opus Support Site article New in Opus for more details.

Do your July 1, 2018 Reappointments in Bulk

When an appointment End Date passes in Opus, that appointment is archived and no longer displays in Opus. For year-to-year re-appointments that don’t require a review process, you can now process reappointment actions for multiple appointees at once.

We’ll be holding a Zoom with Opus session tomorrow at 11am to demonstrate this new functionality. As usual, you can reserve a place on our Zoom Sessions signup spreadsheet. If you can’t make this session, we maintain an archive of past Zoom sessions on our Workshops & Events page, where you’ll be able to download a copy of the session within a few days.

Support Links for Candidates

We’ve updated the screenshots in the articles appearing in the Opus for Review Candidates user guide for the new Interfolio interface. We recommend keeping this page (and the pages it links to) handy for candidate training and support.

Reminders

Certification Is Required

With very few exceptions, cases cannot proceed with review until the candidate certifies the packet. See the support article, Can I Send a Case Forward if the Candidate Has Not Certified? for more information.

Start with the Profile Page

Opus displays appointment data on the Profile page — and, for a department-wide table, on the Roster page. If you don’t think our forecast of upcoming actions is correct on the Eligibility page, please check the data for the appointee on the Profile. Incorrect data there (e.g, Start Dates, Last Advancement Action) will cause incorrect projections on Eligibility. Please also check the Profile page before starting an action to make sure the advancement will be based on the correct Step and Start Date at Step. If the Profile is incorrect, let us know at opushelp@ucla.edu before you begin an action.
